PowerPoint · Export & Sync

Linked to Excel, not pasted

Excel Sync — Linked Shapes

Insert a chart, table, or range into the deck as a shape tagged with workbook path, sheet, and address — including OneDrive/SharePoint paths. Export as picture, EMF, SVG (Microsoft 365), editable chart, or editable table (conditional formatting carried into tables). Update replaces content while preserving on-slide size and position. Links survive the workbook moving — even to OneDrive/SharePoint — and rows or columns being inserted in the model. If the workbook is renamed, reopen it under the matching file name so links can refresh.

Excel Links

Dockable list of every linked shape, grouped by source workbook, with OK / Stale / Source missing status. Update one or many, Remove Link, Break Links (strip tags for distribution), and Make Independent when duplicate Link IDs would conflict.

Cell value as text beta

Insert a cell’s displayed value as linked text (standalone text box recommended — Update rewrites the box from Excel). One linked value per box; sentence embedding works but is more fragile. Refresh with Update or Push.

Push Updates Excel

From Excel, refresh every linked shape across all open decks in one click (or “Update all links in deck” on the PowerPoint ribbon). Connect shows which open deck Export targets. Sizing matches updating from PowerPoint.

Quick sizing Excel

Size a table or chart to your template’s Half / Two-Thirds / Full page widths (each measurement configurable, inches or cm) before it leaves Excel — so it lands on-brand without manual resizing on the slide.

Finalize Deck

One click saves a copy with Excel link tags and stamps stripped (PPTX or PDF). The working deck is untouched — links keep working next month. Dialog shows how many links and stamps will be stripped — including the workbook paths and sheet names a recipient could otherwise dig out of the file.

Send Slides

Export the whole deck or the current selection to a fresh PPTX or PDF — save to disk or attach to a new unsent Outlook email — without modifying the live presentation.

PowerPoint · Deck audit

Period and number inventory before the pack leaves

Check Period

Answers what periods the deck claims to cover. One master row per logical period (months, quarters, YTD/QTD kept separate, FY/CY, nMyy like 3M25, LTM/NTM, scenario tags). FY26 and FY2026 share a row; Notes flag naming differences; a headline warns when both FY and CY appear. Select a period → Locations → jump to the slide.

Check Numbers

Inventories distinct hardcoded quantities so leftover KPIs stand out. $1,2341234, $100100, 1.2m1,200,000; 80%80.0%0.8 (bare values outside [-1, 1] stay separate from percents; $0.8 is not treated as 80%). Notes show Formatting varies; rare / format-flagged groups sort first.

Check Fonts

Optional brand pass in deck QA: one row per font, rarest first, with locations (shapes / tables). Replace swaps a font deck-wide across shapes, groups, and table cells (charts/SmartArt not scanned).

PowerPoint · Layouts & polish

On-brand slides, status callouts, last-mile cleanup

Slide Layouts & Elements

Insert branded layouts and shapes from your own ContentLayouts.pptx and Shapes.pptx. Configure Layouts shows a preview thumbnail of each slide so you can pin by sight. Rename ribbon buttons, pin favourites (up to six pinned layout buttons plus a full dropdown), and set theme/master so pasted layouts match the deck. Share with Export/Import setup.

Visual Indicators

Harvey Balls (any %), RAG status, star ratings, gauges, trend arrows, and numbered pointers — built from native editable shapes. Colours are shared via Configure Indicators (traffic-light RAG / Gauge / Trend; navy for Harvey and Pointer).

Mini Chart

Large Elements button (Ctrl+Shift+M): turn a short Label/Value table into proportional Bar, Column, or Donut shapes — not an embedded chart. Labels are optional; paste a two-column Excel selection; edit later by selecting the group and reopening the dialog. Up to 20 points; value-relative or % fill mode.

Stamps

DRAFT, CONFIDENTIAL, DO NOT DISTRIBUTE, FOR REVIEW, REVIEWED, NEW, PENDING INFORMATION, plus Custom — diagonal overlays that hide and restore to the same place, per slide or whole deck. On the Tools group with Redact and Transparency.

Redact

Cover temporarily for internal review (reversible), or redact permanently before external send — underlying text/picture data is destroyed, not just hidden. Remove cover on this slide or all slides.

Arrange

Align shapes to a table’s columns, equalize size, match position/size between shapes, place on the slide, set aspect ratio, snap to grid — beyond native Align/Distribute.

Excel · Collaboration

Threads, built into the model

Threads

Cell- or range-anchored discussions stored as Custom XML inside the workbook — replies, and attachments (screenshots with auto-compress, links, embedded Outlook .msg / .eml when available). Anchors follow the selection as the sheet changes. They travel with the file — nothing is ever stored on a server.

Status tracking

Each thread: Open, Pending Review, Pending Info, or Resolved — set from the pane and filterable. Richer than native Excel’s resolve/reopen only.

Visible while building the deck PPT

PowerPoint’s standalone Threads pane lists open threads on workbooks linked into the deck and previews each message’s first words, so the slide owner sees unresolved questions without leaving PowerPoint.

Formulas, numbers, and cleanup for model work

Formula Audit

Trace precedents and dependents — including cross-sheet — in a dockable pane. Cycle results on the sheet with Alt+↑ / Alt+↓.

Variance & CAGR

One click writes Difference, Variance %, CAGR (prompts for periods), or difference in percentage points beside the data. Sign-change cases show “n.a.” instead of a misleading percentage.

Insert Check

Mark a reconciliation row green when it balances and red when it doesn’t — near-zero passes, larger fails, live as the model changes.

Paste Same Formula

Paste a formula with no reference adjustment — identical cell for cell (Ctrl+Shift+F).

Numbers (Arithmetic)

Add, subtract, multiply, divide, round, or scale by unit in bulk — wraps formulas rather than replacing them with values.

Handle Errors

Wrap selected formulas with IFERROR — blank, “n.a.”, or a custom fallback.

Spotlight

Crosshair highlight on the active row and column across a wide model.

Batch Clean

Thirteen cleanup ops — clear zeros/errors, strip hyperlinks and validation, remove stray pictures/objects, tidy names, freeze conditional formatting to static fills — scoped to selection, sheet, or workbook.

Set Default

House style for every worksheet in one click: font name and size (default Arial 10), autofit, gridlines off, thin A1 margin, optional theme colors matched to your PowerPoint ContentLayouts template.

Format Charts

Strip the selected chart to a plain look — no axis gridlines, tick marks, fill, or border.

Text / Extract / Dates / Blanks / Fill

Nineteen text transforms; Batch Extract for numbers/emails/URLs/IDs/dates or custom regex; Date Tools for 40+ formats; Delete Blanks; Smart Fill and Fill Sequence (respects merges); Case & Type.

Excel · Workbook group

Multi-sheet packs and firm-wide setup

Consolidate Workbooks

Copy every sheet from several other workbook files into one new workbook — formatting and formulas intact; sources opened read-only and left untouched. Built for rolling BU files into one pack.

Split Sheet

Split by rows or by columns — e.g. a schedule into per-period sheets, or a balance sheet into Assets vs Liabilities & Equity — with formulas preserved or re-linked to the source.

Export Sheets

Export selected sheets as Excel, CSV, or PDF, named from the sheet or a cell value.

Sheet Manager / Index / Sort

Bulk show/hide (including very-hidden), rename, recolor, protect, delete; generate a hyperlinked index tab; sort alphabetically, numerically, or chronologically (FY25, Q4 2025, 5m26, Actual/Budget/Forecast tags).

Smart Formatting

Your own quick-cycle lists — number formats, text styles, borders, font/fill colors — stepped with one keystroke each (e.g. Ctrl+Shift+N for number format).

Keyboard Shortcuts

Rebindable chords and KeyTips for frequent actions, listed in one reference dialog in the add-in.

Export / Import Setup

One .navifia.json carries layouts/elements manifests, indicator colours, shortcuts, theme/master pin, and insert position — so a lead configures once and the team imports.
