Smart Formatting

When to use it: you format models the same way every day — headers, borders, RAG fills, number formats — and want one keystroke to step through your own lists instead of opening Format Cells.

Smart Formatting is an Excel feature. You define up to six personal cyclers. Each cycler holds an ordered list of named format variants. Press its shortcut to apply the next variant on the current selection (then wrap to the start).

Shortcuts are rebindable from Keyboard shortcuts. Each cycler can hold up to eight variants.

How to configure

  1. In Excel, open the Navifia tab → ConfigureSmart formatting.
  2. Pick a cycler. Rename the shortcut label if you want.
  3. Add, remove, or reorder variants. For each variant you can set font, size, bold/italic, font color, fill color, borders, and number format.
  4. Click Save. The lists apply immediately — no restart.

Share with your team

Smart Formatting lists travel in Excel’s Export setup / Import setup bundle (alongside shortcuts and Fit to Slide widths). Use case

Your headers always cycle the same three looks. Configure Text Style once, then press Ctrl+Shift+Q on each row until it lands on the right level — no Format Cells dialog, no mouse.
